About the job:

We are looking for an HR Recruitment Assistant to provide recruitment and administrative support to the HR Business Partner and Recruitment Specialist.

You will take the lead in the development and maintenance of a range of systems to ensure that a proactive and efficient recruitment function is provided to Children’s Services, liaising with managers and the NCC agency supplier to track and monitor recruitment to ensure vacancies are being prioritised and filled.

This position is for an initial three months with the possibility for extension.

  • To deliver an efficient recruitment function, supporting the HR Business Partner and Recruitment Specialist in its continuous development, ensuring processes and procedures are efficient, proactive and meeting demand.  This includes (but not limited to):
  • Drafting recruitment adverts both externally and internally and placing on websites Collating CVs for shortlisting
  • Arranging interviews; advising candidates; liaising with managers; booking rooms;
  • Conducting pre-employment checks, ensuring all referencing completed in a timely manner;
  • Liaising with HR Transactions to ensure new starter paperwork in completed and delay in start dates avoided.
  • Develop and maintain new methods of recruiting including social media, NCC specific jobs websites and other online and print sources.
  • The sourcing of temporary staff through the NCC supplier (OPUS), monitoring and reporting on vacancy levels and liaising with managers and OPUS to ensure demand is being prioritised and issues with supply escalated to the Recruitment Specialist.
  • Maintenance and interrogation of the employee records system (ERP GOLD).  Responsible for provision of accurate reporting through ensuring the recruitment spreadsheet is up to date.
  • The preparation and analysis of reports and identification of trends and issues.
  • Liaising with line managers to establish whether probation periods are completed successfully and ensuring any welcome/introduction bonus monies are processed accurately.
  • Provide an initial contact point for customers.  Handle a wide range of sometimes complex and detailed HR Advisory issues, referred by other colleagues or customers as appropriate.
  • Work collaboratively with the rest of the HR team to ensure standard processes and procedures are understood, complied with and amended as required.
  • Monitor leavers information, support exit interview process and prepare reports on outcomes.
  • Adapt to changing business needs, reprioritising as necessary and working closely with the HR team to ensure an effective and high value service is provided to our customers.
  • Undertake administrative, reporting and ad hoc duties as required to ensure that the HR Advisory Service remit is completed in an efficient, timely way and to a high standard. This may include but not limited to: drafting routine correspondence; note taking at meeting; participating in meetings, other ad hoc reporting
  • Ensure data protection and confidentiality standards are met in relation to all information processed within the team and manage the efficient storage of data and documents
  • Demonstrate awareness/understanding of equal opportunities and other people’s behavioural, physical, social and welfare needs
  • Carry out any other duties which fall within the broad spirit, scope and purpose of this job description and which are commensurate with the grade of the post
  • Good general education with minimum GCSE C or equivalent in English and Maths, or equivalent.
  • General education to ‘A’ level or degree standard, or equivalent, in a relevant field.
  • Hold or be working towards a CIPD qualification.
  • Microsoft Excel qualification at intermediate or advanced level.
  • Strong experience of using IT software including Excel, Word & other Microsoft programmes.
  • Thorough understanding of office organisation and record management systems.
  • Experience of providing support to peers and other team members.
  • Knowledge of Human Resources policies and procedures.
  • Experience of working in a busy office environment.
  • Experience of working on Recruitment.
  • Experience of producing management information and written reports.
  • Experience of working with ERP Systems such as Agresso.
  • Experience of working in a HR team.
  • Holiday entitlement of up to 31 days per annum, pro rata (including bank holidays).
